The Special Requirements is a central depository for customer or product special requirements that are unique to each customer or product and that are not necessarily covered in the quality management system. Documents, instructions or movie files may be uploaded into special requirements and each time a change is made to these requirements, the applicable managers are advised by e-mail.

Some examples of the type of information that may be entered into special requirements are listed below:

  • Customer/Product Profile Spreadsheet;

  • Instructions on labelling, packaging and shipping;

  • Special handling instructions;

  • Special documents for manufacturing or blueprints and specifications;

  • Customer invoicing requirements;

  • Special customer forms that require to be completed;

  • Pictures of the product;

  • Customer notes about the product or service;

  • Special Temperature or environment requirements;

  • Special sanitation or safety requirements;

  • MSDS sheet for product;

Any other unique information to ensure that the manufacturing or service is performed exactly to the customer’s requirements.

The Special Requirements module is also a useful tool when performing root cause analysis and for entering the resultant corrective actions. Many times, these revisions to customer requirements may be entered and revised as a result of the continuous improvement process.
